Microsoft 365 Copilot vs Google Workspace AI: which platform fits your team?

Microsoft 365 Copilot and Google Workspace AI are now the two heavyweights in AI-enhanced productivity for Australian businesses. They're not interchangeable, and the gap between them is wider than the feature lists suggest.

Microsoft 365 Copilot and Google Workspace AI represent two fundamentally different bets on what AI-assisted work should look like. Both suites have added AI layers across their core apps, both are available to Australian enterprise customers today, and both will absorb a meaningful slice of your IT budget. The decision isn't really about which has more features. It's about which architecture, vendor relationship, and workflow model fits the way your team already works.

How each platform approaches AI assistance

Microsoft 365 Copilot sits on top of the Microsoft Graph, which means it draws on emails, documents, calendar entries, Teams messages, and SharePoint content to generate contextually aware responses. Ask Copilot to summarise last week's project discussion and it pulls from actual Teams threads. Ask it to draft a briefing note and it can reference internal documents you've already worked with. The AI layer is deeply embedded into Word, Excel, PowerPoint, Outlook, and Teams rather than bolted on as a standalone tool.

Google Workspace AI (marketed as Gemini for Workspace) takes a similar approach but anchors everything in Google Drive, Gmail, Docs, Sheets, and Meet. Gemini can summarise email threads, generate Docs content, and assist in Sheets with formula suggestions and data analysis. Google's advantage is that its AI models are developed in-house at DeepMind and Google Research, and the Gemini integration benefits from years of search-oriented language modelling. Its weakness is that Google Workspace is thinner on the enterprise IT management tooling that large Australian organisations rely on.

Pricing and what it means for Australian IT buyers

Microsoft prices Copilot as an add-on. As of mid-2026, the Copilot for Microsoft 365 licence adds roughly AUD $45–50 per user per month on top of an existing Microsoft 365 Business Premium or E3/E5 subscription. That's a significant uplift. A 200-seat deployment can push the annual AI spend past $110,000 before negotiation.

Google bundles Gemini features more aggressively. The core Gemini features (Help me write, summarisation in Gmail, Meet transcription) are included in Business Standard and above, which sit around AUD $22–28 per user per month. The higher-tier Gemini Advanced features require an add-on, but the baseline experience is accessible at a lower entry point.

Australian IT buyers evaluating either option should also factor in Microsoft EA (Enterprise Agreement) or Google Workspace Agreement discounts, which vary significantly depending on seat count and existing spend. Neither vendor publishes Australian pricing transparently, so treat published figures as starting points, not final costs. If you're already deep in an existing Microsoft 365 Copilot rollout, the switching cost analysis changes substantially.

The Microsoft case: depth over breadth

Microsoft 365 Copilot wins on depth. The integration with SharePoint, Teams, and the Microsoft Graph is genuinely tighter than anything Google offers against its own data ecosystem. For organisations already running Azure Active Directory (now Entra ID), Intune, and Defender, the AI layer slides into existing governance and security structures without a separate implementation project.

Power Automate and Power BI also benefit from Copilot prompting, which gives non-technical staff a way to build automations and interrogate data without writing code. That's a real productivity multiplier in finance, HR, and operations teams. The limitation is that Copilot's quality degrades quickly if your Microsoft 365 environment is messy: poorly governed SharePoint, inconsistent file naming, and sprawling Teams channels produce low-quality AI outputs because the model is drawing on disorganised context.

The admin burden is also real. Deploying Copilot properly requires attention to data classification, sensitivity labels, and permission structures. Teams that skip this step often find Copilot surfacing documents that staff weren't supposed to see, because the AI respects permissions but doesn't understand organisational intent.

The Google case: simplicity and browser-native work

Google Workspace AI is the better fit for teams whose workflows live primarily in a browser. Startups, professional services firms, and organisations that adopted G Suite early tend to have clean, well-organised Drive structures that Gemini can actually work with. The Meet transcription and summary features are particularly strong and require no client software, which matters in hybrid environments where participants join from multiple devices.

Google also has a genuine advantage in collaborative document editing. Docs and Sheets are built for real-time collaboration in ways that Word and Excel still don't fully replicate, even with Microsoft's improvements. Gemini inside Docs benefits from that architecture. Multiple people can prompt, edit, and review AI-generated content simultaneously without version conflict.

The gap shows in enterprise IT management. Google Workspace Admin is capable but less mature than Microsoft's equivalent stack. Large organisations with complex compliance requirements, particularly those subject to Australian Privacy Act obligations or regulated sectors like finance and health, often find Microsoft's governance tooling more complete. Google is closing that gap, but it isn't there yet.

Data residency and sovereignty considerations

Both vendors now offer Australian data residency options. Microsoft's M365 Multi-Geo and Australian data boundary commitments cover the major Microsoft 365 services and Copilot processing. Google offers a similar Data Regions feature for Workspace. The practical difference is in what each vendor actually commits to in contract: Microsoft's enterprise agreements have historically included more granular data processing addendums that Australian legal and compliance teams find easier to review.

For government-adjacent or regulated organisations, the sovereign cloud question is separate from the AI assistant question. An organisation already using a sovereign or private cloud deployment for core IT may find that neither Copilot nor Gemini fits cleanly into their approved architecture. That's a genuine constraint worth surfacing early in an evaluation. Teams already thinking through AI assistant options more broadly will find the data residency question keeps surfacing regardless of which platform they favour.

Migration and switching costs

Switching between these platforms is painful. Email migration is manageable. Rebuilding SharePoint information architecture in Google Drive, or vice versa, is months of work. Retraining staff on a different document model adds further friction. The AI evaluation should not drive a platform switch on its own. If your team is already on one platform and it's working well, the sensible question is whether that platform's AI layer is good enough, not whether the other vendor's AI layer is marginally better.

Both platforms are also moving fast. Features that were Copilot exclusives in early 2025 have since appeared in Gemini, and Google has iterated on its enterprise admin tooling significantly. Any comparison article written six months ago is already partially out of date.

Which one should Australian teams choose?

The answer depends on three factors: your existing platform, your team's technical maturity, and your compliance profile.

  • Stick with Microsoft 365 Copilot if you're already on Microsoft 365 E3 or E5, run Azure-native infrastructure, or operate in a regulated sector where Microsoft's governance tooling and compliance commitments matter. The AI layer is more powerful for document-heavy, internally-connected workflows.
  • Stick with Google Workspace AI if your team's work lives in Drive and Docs, you value lower entry costs, and your compliance requirements don't demand Microsoft's depth of data management tooling. The Gemini features at Business Standard tier offer genuine value without a large uplift.
  • Pilot before committing either way. Both vendors offer trial periods. Run a structured pilot with 20 to 30 users across representative workflows before expanding. The AI quality difference between platforms is real but highly dependent on the quality of your existing data environment.

Neither Copilot nor Gemini is a clear winner across every dimension. The platform that works better for your team is almost always the one that already holds your organisational knowledge in a form the AI can actually use.
